For small landlords

Never miss the landlord work that quietly costs you money.

Fill the unit, track every showing, and keep rent increases, renewals, and repairs from slipping.

A forgotten rent increase, a showing you never followed up on, a repair with no record - the small things landlords let slip are the expensive ones. Vacantless is built for one unit up to a small portfolio, and keeps the recurring work on track in one calm place instead of a dozen apps.

Free to start with one rental. Automatic rent collection is part of Growth, set up when you and your tenant are ready.

It starts by filling the unit - usually on its own.

Renters find your page, book their own viewing time, and land in one list. Here is how that plays out across our own rentals.

~9 in 10viewings self-booked by renters, without phone tag.
~100 / morenter inquiries handled in one place.
50+ / moviewings booked and coordinated, no back-and-forth.

Figures are from the operator's own rental portfolio, where Vacantless runs day to day. Your own results will vary.

Then it keeps the recurring work from slipping.

Filling the unit is the start. The money leaks later - a missed rent increase, a repair with no record, a showing nobody followed up on. Vacantless watches the dates and keeps the trail.

Rent increases you never forget

An annual reminder when a unit becomes eligible, the notice prepared for you to review and send, and the date tracked so next year comes back around on its own.

Renewals and key tenancy dates

Watch any lease and Vacantless keeps an eye on renewals, insurance, and the seasonal dates that are easy to let slide.

Showings that get followed up

Renters self-book, you track where each one stands, and the follow-up does not get lost. The renter you choose moves straight into a tenancy record.

Repairs with a clear paper trail

Tenant requests, work orders, and vendor hand-offs tracked in one thread, so every repair has a record behind it.

Vacantless prepares and reminds. It does not replace your lawyer, your signing tool, or the official Ontario forms. Rent-increase notices are drafted for you to review and send, with the key dates tracked for you.

The whole rental, from empty to earning.

One place for the entire job, grouped the way you actually work, from an empty unit to rent in the bank and the books kept. Nothing hidden.

Some features depend on your plan. Vacantless organizes and tracks this work in one place and works alongside your existing tools. Official Ontario forms, your accountant, and your signing tool stay yours. Vacantless keeps the records organized around them.

Vacantless does not take a cut of your rent.

Stripe or Rotessa processor fees pass straight through. Vacantless makes money from your monthly plan, not from marking up your rent payments.

Collect rent automatically, when you are ready.

Rent collection is the reason many landlords start. Set it up once and rent runs on schedule, so you stop chasing cheques and e-transfers.

Cheques and e-transfers rely on memory. One missed reminder, one repair dispute, or one awkward rent conversation can quietly cost you. One landlord missed the right moment for a rent increase while repair issues were going on, and ended up giving a free month to keep the peace.

Automatic rent collection cannot solve every problem, but it removes one common friction point: rent is scheduled, authorized, pulled, and recorded.

The cheque book is the small cost. The missed rent conversation is the expensive one.

Vacantless helps reduce common money leaks:

  • Late rent follow-up, chased month after month.
  • Missed rent increases and important tenancy dates.
  • Repair costs with no clear record behind them.
  • Missing receipts at tax time.
  • Unclear records when you need to know who paid what.

How rent collection works

  1. 1
Choose the Growth planAutomatic rent collection is included on Growth and Premium.
  2. 2
Add the tenancyCreate the tenancy record with the tenant and the monthly rent amount.
  3. 3
Connect Stripe or RotessaUse Vacantless's Stripe setup, or connect your own Rotessa account.
  4. 4
Tenant authorizes their bankYour tenant confirms their bank account. Nothing is debited until they do.
  5. 5
Schedule the monthly rentPick the first payment date, and the amount pulls automatically each month.
  6. 6
See what came inPayments continue every month, tracked in one place, until you change or cancel the schedule.

Rent is only ever debited after your tenant authorizes their bank account. Vacantless never holds your funds, never stores tenant bank-account numbers, and adds no fee of its own on rent.

What it costs

One flat plan, no matter how many units. The Growth plan is CA$99 a month. Stripe adds about CA$5 per payment it pulls. Vacantless takes no cut of your rent, and the more units you run, the less each one costs.

  • Estimates assume the CA$5 Stripe cap per successful payment. They exclude tax and any failed, disputed, or verification fees.
  • If you connect your own Rotessa account, Rotessa pricing applies instead. Rotessa may be cheaper depending on your account and transaction volume.
  • Vacantless does not mark up processor fees. The processor's fee passes straight through.
  • Rent collection is set up once your Stripe or Rotessa account is connected and your tenant authorizes their bank account.
